Client Portal Guide
What your clients see on the portal, how to invite their buyers, and what stays hidden from them.
The client portal is where your clients send requests, approve quotes, follow their orders and talk to your team, on your site and with your brand. It is available today.
Invite a client's buyer
- Open the client under Clients.
- In Portal Users, add the buyer's user (create the user with their name and email if they are new).
- The buyer gets an email to choose a password. The link stays valid for 3 days; you can send a new one from the user's page.
A buyer can belong to more than one client. They sign in on your site's login page and land on the portal, never on your back office.
What the buyer sees
| Page | What is on it |
|---|---|
| Home | Open requests, quotes to approve, orders in progress, shipments on the way, unread messages and coming calls |
| Catalogue | Your products with a photo; each one starts a new request |
| New request | Product, quantity, destination, Incoterm, target date, sample and a photo |
| A request | The eight-stage tracker, the quotations with Approve and Reject (with a note), and the messages |
| An order | The tracker, the lines, deliveries and shipments, and the messages |
| Book a call | A 15, 30 or 60 minute call with your team, Monday to Friday in your working hours |
When the buyer approves or rejects a quotation, the decision is saved on it and your team gets a notification.
What stays hidden
- Your factories. Factory names, factory quotes and factory prices are never shown.
- Your internal fields. The target price, the agent in charge and the awarded factory quote are internal.
- Other clients. A buyer only sees the requests, orders and messages of their own client.
Every action on the portal goes through checks on the server, not just hidden buttons.
Messages
Each request and each order has its own thread. Buyers can attach photos, PDF, Excel and Word files up to 10 MB; only people who can read the thread can download them. A buyer's message notifies the agent in charge; your reply is emailed to the client's buyers.
Your brand on the portal
The portal uses the colours and favicon from White Label Settings, and your clients see your logo on the login page. See White-Label.
See it yourself. In the demo, sign in as Client to see the portal as a buyer in Riyadh sees it.
